Job description: How You’ll Help Transform Healthcare:Performs coordination and analytical tasks in support of Carilion Property Management. Works under minimal supervision using critical thinking to take appropriate action, set priorities and meet deadlines. Provides guidance to clerical staff. Handles cleaning contracts ensuring they meet the standards of Corporate Compliance.

• Performs cleaning inspections to ensure contractor performance is in compliance with Property Management specifications and cleaning products used are in compliance with Infection Control.
• Maintains a complex spreadsheet to ensure that all current and new employees of all contracted janitorial companies provide a confidentiality form and background check for each of their employees according to Carilion Internal Audit standards. Background checks will be used to determine if each employee meets the requirements to work in a Carilion Clinic building.
• Maintains a spreadsheet for each location that we manage the cleaning contract to ensure the appropriate carpet cleaning and stripping and waxing of floors are performed according to Property Management specifications. Also, coordinates with contractor and tenant to schedule work.
• Coordinates Accounts Payable and Accounts Receivables; maintaining records using QuickBooks. Responsible for invoicing for work performed or supplies ordered according to lease terms; and responsible for timely reimbursement. Ensures timely payment of rent according to Lease terms. Follows up with late payment or late fee notices as necessary.
• Analyzes all completed work orders for accuracy.
• Prepares internal leases and coordinates the execution of the lease.
• Coordinates with Carilion Police for all holidays the schedule for buildings on an Access Control System.
• Helps Carilion Design Group with interior signage for non-hospital properties as time permits.
• In absence of the Operations Manager, makes timely, informed, cost-effective decisions on their behalf using all available resources and information; documents actions for management’s review.
• Performs administrative and coordination duties in support of Project Management, Carilion Design Group and Property Management as needed to improve operational efficiency.

What We Require:Education: Associate degree in either two year business or secretarial school; OR related experience and enrollment in a degree program, or commitment to a related plan can be considered as an alternative.Experience: Three to four years of secretarial/administrative and real estate related experience.Other Minimum Qualifications: Effective interpersonal, communication (verbal and written), problem solving and teamwork skills required. Ability to work in a diplomatic manner with diverse clientele, contractors, Carilion personnel, vendors and tenants. Position requires self-discipline, motivation and ability to make decisions under pressure. Advanced PC software skills in word processing, spreadsheets, database (Access) and presentation software (Power Point).
